SR Show
Scheduling Guidelines
1. Traditional show dates for clubs will be honored.
A traditional show date is a month and relative weekend
(i.e. first weekend in May) that a club has used for two
or more years.
2. Traditional show
dates will be lost if a club has not
held a show in two or more years. Clubs who cannot
hold a show for two or more years should work with the
SR Show Scheduler and Regional Director on future
show scheduling.
3. The current distance
guideline for SR show scheduling
is 500 miles from other SR shows. This does not
impact shows schedule prior to the establishment of
these guidelines (i.e. traditional show dates or dates
established prior to 2002). This does not include shows
scheduled in other regions as these guidelines are for
SR shows only.
4. All SR show weekend
changes (including changes from
4th to 5th weekends in a month) should be sent to
the SR Show Scheduler and Regional Director for
review and approval.
5. CFA Show Rules
dictate that show date changes
be approved by the Regional Director. The Central
Office sometimes requests approval for shows on traditional
dates that have missed one year. Changes are
difficult to keep up with. Please be patient. Traditional
dates will be honored in this case and Regional
Director approval with be forwarded to CO.
6. Contracts should not
be signed until the date is okayed
through SR Show Scheduler. This will help ensure that
your club is not impacted by too many SR shows on
one weekend.
7. All requests for new
show dates or changed weekends
should be sent to both the SR Show Scheduler and
Regional Director. Please include the following information:
a. Sponsoring club or clubs
b. Show location - city, state including facility if known
c. If request is for a single year or permanent
d. A date change will not become a traditional date until
the show has been held for 2 years and the club notifies
the SR Show Scheduler that this is a permanent change
8. Scheduling your show
and keeping the SR show calendar
up to date is difficult. Please notify SR Show Scheduler
as soon as possible if you will not be using a requested
show weekend. This will free the weekend up for use
by other clubs.
9. Clubs should notify
the SR Show Scheduler and
Regional Director that a club has been officially
licensed if at all possible. Online show calendars
and Almanac show calendars do not always show
shows licensed in future years. This information is
important as clubs request show changes for the
next few years to lock in dates and available facilities.
10. The SR Show
Scheduler reviews all requests to
ensure these guidelines are followed. This is a
difficult job so please work closely with her/him
to answer all questions and ensure timely approval
for your requested date.
11. The SR Show
Scheduler may notify you of added
or changed shows in close proximity to your show
that fall on dates close to your show. Clubs should
be aware of impact of multiple local shows within
short timeline. Too many shows too close in time
and distance could impact entry and gate.
12. Clubs should be
aware of close proximity shows
in other regions. The SR Show Scheduler and
Regional Director are not included on show calendar
changes in neighboring regions although we do try
to be aware of traditional show dates in these regions.
13. SR shows will be
listed on the SR Show Calendar by
notifying the SR Web Show Coordinator.
14. Shows are not
scheduled on the following
National and Regional Traditional Weekends:
a. Regional Awards Show: Second Weekend in June
b. CFA Annual: Third or Fourth Weekend in June -
Check Almanac or CFA Website for Dates
c. Regional Fundraiser Shows: Second Weekend in October
d. CFA International Show: Third or Fourth Weekend in November -
Check Almanac or CFA Website for Dates.
